62. Mr. Quinn asked the Minister for Foreign Affairs if he will, in consultation with the National Archives, ensure that his Department maintains clear and comprehensive records of the current administration of Government business so that in time the transfer of such records to the National Archives will enable future generations to obtain an accurate and informed picture of the business of Government; and if he will make a statement on the matter.

63. Mr. Quinn asked the Minister for Foreign Affairs if he will outline the archival records, contained within his Department, which have been transferred to the National Archives; the [1051] records retained and the reason for their retention; if he will further indicate when those records not specifically retained will be transferred to the National Archives; and if he will make a statement on the matter.

Minister for Foreign Affairs (Mr. Collins): I propose to take Questions Nos. 62 and 63 together.

Arrangements are in hand to transfer to the National Archives, under the provisions of the National Archives Act, 1986, archival records of my Department.The regulations made under the Act require that the initial transfer to the National Archives of records over 30 years old take place by 31 December 1990. Subsequent transfers will be made on an annual basis.

Retentions may be made on the grounds specified in section 8 of the Act.

As regards the management and maintenance of current records, this is a matter which is reviewed from time to time in the light of my Department's administrative requirements, statutory obligations and other relevant considerations.
